2/22/2023: Update to the Board of Directors

David Schott's term as Secretary / Treasurer of the Board of Directors (the "Board") ended in February of 2023. David agreed to serve a new 3-year term as Secretary / Treasurer and no other HOA members expressed a desire to serve in this position.

At the 2023 Annual Meeting of the HOA, the meeting attendees or their proxies voted 10 - 0 FOR David Schott as Secretary / Treasurer of the Board.   David's term lasts through February of 2026.

Thank you to David Schott for being willing to serve on the Board.  Your help is greatly appreciated.

2/22/2023: Updates to the ACC Committee

Nancy Heard's term on the Architectural Control Committee (the "ACC") ended in February of 2023.  Nancy graciously offered to serve another 3-year term on the ACC, but requested to be relieved of the chairperson duties.

Current ACC member, Hong Sodoma, kindly agreed to take over in the ACC Chairperson role at least through the remainder of her term, which expires in February of 2024.

At the 2023 Annual Meeting of the HOA, the Board of Directors unanimously appointed Nancy Heard to a new 3-year term on the ACC, and unanimously appointed Hong Sodoma as the ACC Chairperson.

Thank you to Nancy Heard, Cathy Kopp, and Hong Sodoma for being willing to serve on the Architectural Control Committee.  Your help is greatly appreciated.

By HOA rules the ACC should be comprised of 3-5 members. There are still 2 vacant spots on the ACC. If you would like to help out by serving on the committee, please reach out to the HOA. No special expertise is required to be on the committee.

As a reminder to all HOA Members:  HOA rules require homeowners to submit an Architectural Control Committee request form to the ACC and to receive approval from the ACC before beginning any work that affects the exterior appearance of your home.   This includes exterior painting, roof replacement, major landscaping changes, and fence repair/installation.

For any questions regarding the ACC approval process, you can contact the ACC by email at acc(a)marymoorhillhoa.org.

2022 Annual Meeting Information and Official Ballots

Due to the ongoing COVID-19 pandemic, the Board of Directors is conducting the 2022 Annual Meeting by mail again this year.

If you have opted to receive HOA notices by email, you will receive an email with an Official Ballot attached. If you receive your HOA notices by U.S. Mail, your Official Ballot will arrive in the U.S. Mail (they were mailed on 2/14/2022).

These ballots are your opportunity to vote to approve or reject the HOA budget plan, and to vote for the position of the Vice President of the HOA Board of Directors.

Limit one ballot per household. The ballot you receive from the HOA is unique to your household. Please do not vote using a copy of a neighbor's ballot.

If you need a replacement ballot, please reach out to the HOA.

The HOA must receive your completed ballot by March 1, 2022, and the Ballot ID printed on the bottom of the ballot must be readable, or the ballot will not be counted.

Instructions for returning completed ballots are printed on the ballot. The results of the election will be posted on the HOA website soon after March 1, 2022.

Below is a list of documents with information that would normally be presented at the in-person annual meeting. If you have any questions, please feel free to email the HOA.

About the 2022 Annual Meeting

Due to the ongoing Covid-19 pandemic, the HOA Board of Directors is planning to conduct the business of our Annual Meeting by mail again this year.  In February you will receive the meeting information and a ballot to vote on meeting issues.  If you have objections to conducting the 2022 Annual Meeting by mail, please contact the HOA by email or by U.S. mail before February 10, 2022.

The position of Vice President of the Board of Directors is up for election at the 2022 Annual Meeting.  Our current vice president, David Ebbo, has agreed to serve another three-year term.  If you are interested in running to serve as Vice President of the Board, please contact the HOA by email or by U.S. mail before February 10, 2022, and ask to have your name included on the ballot.  Any HOA member in good standing may run for an open HOA Board of Directors position.

Two of five positions on the Architectural Control Committee (ACC) remain vacant.  If you are interested in volunteering to serve on the ACC, please reach out to the HOA by email at any time.  The Board of Directors appoints members to serve on the ACC.  It is not a difficult job, requires no special training, and your service would be greatly appreciated.

The HOA may be contacted by email at:  info(a)marymoorhillhoa.org

Best regards,

Board of Directors
